1. Scope
This policy applies to personal information collected through clinesrecycling.org and its rental and library sections, as well as information you provide by email, telephone, text message, a contact form, a pickup or drop-off request, a library inquiry, or a rental application. It does not apply to independently operated websites linked from our pages.
2. Information we collect
Depending on how you interact with us, we may collect:
- your name, email address, telephone number, mailing or pickup address, city, and state;
- messages, donation descriptions, requested dates, book titles, and communication history;
- library administration account and catalog activity; and
- basic technical information supplied by a browser or server, such as an IP address, browser type, requested page, timestamps, and security logs.
Please do not send medical, financial, government-identification, or other sensitive information unless a specific rental application field or instruction requires it.
3. How we use information
We use information to respond to questions; arrange and confirm pickups or drop-offs; communicate about donated or library Items; manage the book marketplace; review rental applications; maintain security; prevent fraud, theft, abuse, and prohibited donations; keep appropriate records; comply with law; and protect people, property, and the fundraiser.
We do not use contact information to build or sell marketing lists, and we do not sell personal information for money or share it for cross-context behavioral advertising.
4. Private communications and limited disclosure
Communications between you and Cline's Recycling, Cody Cline, or an authorized representative are treated as private and shared only when reasonably necessary for the purpose of the communication. This commitment does not create attorney-client, medical, or another legally privileged relationship, and ordinary email cannot be guaranteed to be completely secure.
We may disclose relevant information:
- with your direction or consent;
- to hosting, email, document-delivery, security, or other service providers that need it to perform services for us and are expected to protect it;
- in response to a valid subpoena, court order, warrant, or other legal requirement;
- to cooperate with law enforcement, protect a lawful owner, or investigate suspected stolen, fraudulent, dangerous, or illegal property; or
- when reasonably necessary to protect the rights, safety, and property of you, Cline's Recycling, Cody Cline, our representatives, or others.
We will seek to limit a legally required disclosure to information reasonably responsive to the request when practical and lawful.
5. Third-party payment privacy
Cline's Recycling may accept payment through independently operated third-party payment services. Each provider maintains its own privacy policy and controls how information submitted directly to its service is collected, used, stored, secured, and disclosed. Cline's Recycling and Cody Cline respect and recognize those independent privacy policies but do not control the providers' systems or privacy practices.
Please review the selected provider's privacy policy before submitting payment. We may receive limited transaction information from a provider—such as the payer's name, payment status, amount, date, transaction identifier, or dispute information—and will handle information we receive according to this Privacy Policy. Payment requirements and responsibilities are addressed separately in our Terms and Conditions.
6. Retention
We keep personal information only as long as reasonably necessary for the purpose collected, to maintain appropriate business and application records, resolve disputes, protect security, or satisfy legal obligations. Retention periods vary by record type. When information is no longer needed, we take reasonable steps to delete it or make it no longer identifiable.
7. Security
We use reasonable administrative and technical safeguards appropriate to the information we hold, including access restrictions and security controls on protected areas. No website, email system, or storage method is perfectly secure, so we cannot guarantee absolute security. If we determine that a legally reportable breach occurred, we will provide notice as required by applicable law.
8. Cookies and server logs
The site may use essential cookies or session storage for functions such as administrator login, form security, and application continuity. Our hosting systems may create routine access and security logs. We do not currently use this information to sell ads or create advertising profiles.
9. Children
This website is not directed to children under 13, and we do not knowingly collect their personal information through public forms. A parent or guardian who believes a child submitted information may contact us to request review and deletion.
10. Your choices
You may ask what personal information we hold about you, request a reasonable correction, or ask us to delete information that we are not required or reasonably entitled to retain. We may need to verify your identity and may preserve information needed for security, legal compliance, an active rental matter, or the establishment or defense of a legal claim.
11. Changes
We may update this policy as our practices or legal obligations change. The revised policy will be posted here with a new effective date. Material changes apply prospectively unless the law permits otherwise.
